Business Challenges

For one of the flagship companies in a USD 2.5 billion conglomerate, and a leading player in the energy industry,  running the business meant working with millions of documents, in multiple file formats, including Office, AutoCAD, Acrobat, image files and unstructured file formats. They wanted a solution that would give their end users quick and structured access to these documents, as well as improve collaboration and knowledge sharing. Other key considerations were low initial costs, quick deployment, easy administration and management.  From an ECM standpoint, they needed a knowledge framework and document repository that could handle the vast amount of data, with extensive document management capabilities in terms of creating, working, revising, commenting, hierarchical and user based storage, as well as workflow and management capabilities. A fundamental requirement was that the solution be open and interoperable with a wide range of standards.  Also, their external partners and vendors needed secure remote access for document sharing.  Strict regulations meant that record management services were of paramount importance.

Our ESG team designed and implemented a portal and knowledge repository on a 64 bit platform. Users were now empowered with powerful yet simple and familiar search interfaces, as well as being able to work with multiple file formats. Frustratingly long searches across multiple file shares and folders were now reduced to a couple of clicks and seconds. With enhancements like preconfigured search rules, locating frequently used information was almost instant. Searches now yielded results from unstructured data as well as structured data from their LoB applications. Extensive meta data tagging resulted in a truly extensive search experience. Web 2.0 features such as Wikis greatly enhanced collaboration and knowledge sharing. ECM capabilities in our solution ensured that compliance and auditing needs were well addressed. We conducted administrator, and more importantly, end user training to ensure that the solution made a definite difference in their daily work.
